Telephone System Customer Register

The Entrepreneur Fund is processing your data based on the Unemployment Security Act and on the Unemployment Fund Act. The Entrepreneur Fund may further process your personal data based on other mandatory legislation. The Entrepreneur Fund also has legitimate interests in relation to its operations, such as operational development and resolving possible cases of malpractice, based on which your personal data may be processed as well.

Your data will be primarily used for securing service transactions when processing benefits matters. Data may also be processed for personnel training purposes for the purpose of improving the quality of customer service offered.

The Entrepreneur Fund is recording incoming telephone calls. Calls are automatically recorded. Recordings cover information disclosed by customers, and in the case of background support calls, data disclosed by service consultants, such as:

  • Time of call
  • Duration of call
  • Call administrator’s ID
  • Name
  • Membership number
  • Personal identity code
  • Address
  • Telephone number
  • Housing
  • Family
  • Tax information
  • Income information
  • Tax withholding information
  • Benefits information
  • Membership fee invoicing information

Data is supplied by customers to us or by our service consultants per telephone.

Entitlement of fund employees to process personal data of fund members is based on access  policy according to job description.

The Entrepreneur Fund is using a call-back service, via which telephone numbers and time of calls are transmitted to the fund. Such data will be deleted immediately after call-back has taken place.

No regular disclosure of data takes place. However, we may disclose members’ personal data to public authorities. Such disclosure is based on law or data protection obligations. The Entrepreneur Fund may also disclose your personal data based on order issued by a court of law or equivalent.

No data is disclosed to recipients outside the EU or the European Economic Area.

Telephone call recordings will mainly be stored for two (2) years and for a reasonable time thereafter. Telephone call recording was introduced in September 2020.

 

Data security and personal data protection are always systematically observed by the Entrepreneur Fund whenever data is used and processed. The Entrepreneur Fund is processing all personal data in a data-secure manner and as prescribed by current legislation.

Only persons authorised by the controller can access the register. Access to data, software and systems has, by way of technical means (access, user ID, password), been limited to include only individuals, whose work tasks comprise unemployment fund duties. Access to premises, where confidential information is being processed or stored has been granted only only to persons who need to have access in order to be able to carry out their work tasks. Front doors to production premises are covered by a monitoring system. Employee oversight is implemented via an access control system. Register users are subject to non-disclosure agreements and are therefor not allowed to disclose any data they are processing.

When registered, you have several options for affecting how your personal data is being processed. We will answer your requests as soon as possible, latest within one month. Should we need more time, we will contact you within one month. In matters relating to use of your personal data, please contact the person mentioned in paragraph 2 of this statement.

You have the following rights:

  1. a) Right to access personal data collected concerning yourself

All Entrepreneur Fund members can easily verify their own personal data using the fund’s e-services. Our e-services may also be used for updating contact information and for sending secure messages to us.

Requests concerning personal data can also be sent by e-mail to the address tietosuoja@yrittajakassa.fi, which will provide additional instructions. In your verification request you must specify in detail, what data and covering what periods of time you wish to verify. As a rule, verification requests can be made free of charge once a year.

  1. b) Right to request collected personal data concerning yourself to be rectified

Should you find errors or shortages in your personal data, you can send us a request to rectify. We recommend that you send your request via our e-services.

  1. c) Right to request collected personal data concerning yourself to be deleted

We are obliged to delete your requested personal data in our register in case any of the below grounds are met, and no obligations to further store such existing data based on other legislation or orders of public authorities exist:

  • your personal data is no longer required for the purposes for which it was originally being processed;
  • you cancel your consent, and no other legal basis exists;
  • you object to processing due to your own personal specific situation, and no justified reason for processing exists;
  • processing of your data is contrary to law.

The Entrepreneur Fund may have a legal right to process your personal data for a certain time period after your membership has ended.

  1. d) You are entitled to request processing of your personal data to be limited as provided for in Article 18 of EU’s General Data Protection Regulation.
  2. e) Right to transfer data submitted by you from one system to another

You are entitled to receive your personal data which you have submitted to the Entrepreneur Fund in a structured, generally used and machine-readable format, and you are entitled to transfer such data to other controllers.

  1. f) Right to lodge an appeal to an oversight authority.

Unless possible disputes regarding processing of your personal data cannot be solved in mutual understanding between you and the Entrepreneur Fund, you are entitled to refer the matter to be settled by the Office of the Data Protection Ombudsman.

Finnish law and EU legislation directly applicable in Finland, such as the EU’s General Data Protection Regulation, shall apply to this personal data register and to any processing of personal data contained therein.

 

We fully understand the importance of data protection and are taking efforts to keep at the forefront of developments in this respect as well. The Entrepreneur Fund may from time to time make changes to this privacy statement concerning recording customer telephone calls. Any changes will be published on this website.
